These Terms & Conditions ("Terms") govern your use of acacia-languages.com and the courses, subscriptions and lessons (the "Services") provided by Acacia Languages Ltd ("we", "us", "our"), a company registered in England and Wales under company number 13066482, with its registered office at 17 William Evans House, London, SE8 5AU, United Kingdom. Our Services are intended for consumers. Please read these Terms before you place an order. Nothing in these Terms affects your statutory rights as a consumer.
Acacia Languages Ltd publishes the Role-Play language-learning framework and delivers related courses and private lessons. You can contact us at hello at acacia-languages.com. Our full company details are in our Impressum.
All prices include VAT and are the same in every country.
- Acacia Community Access (free) — the first lesson of each course and access to the open channels of our Discord community.
- Course subscription — €29 per month — full access to one self-paced course (currently German A1 and Dutch A1) and the paid channels of our Discord community. It starts with a 30-day free trial (see Section 4).
- Lifetime access — €299 — permanent access to one self-paced course, paid once. We offer it by email to subscribers.
- Fast Track — €1,428 — 12 private online lessons with Francisco Marcos, spread over 4 weeks, in the languages shown at checkout.
- Tutor Bundle — €600 — 12 private online lessons (€50 per lesson) with one of our tutors.
- Free resources — such as our learner role quiz and email content.
You place an order by completing the checkout and clicking the order button. Before you click it, the checkout shows you the product, the price including VAT and, for subscriptions, when you will first be charged and how often. A contract is formed when we confirm your order by email. We send you these Terms and the details of your order with that confirmation.
All prices are in euros (€) and include VAT. We are registered under the EU VAT One Stop Shop (non-Union scheme) via Ireland and account for VAT at the rate of the EU country you live in. We are not currently registered for UK VAT. To apply the correct VAT, we ask for your billing country and keep a record of it.
Payments are processed securely by Stripe. We never receive or store your full card details. Access to a course starts as soon as your order is confirmed.
Free trial. Each course subscription starts with a 30-day free trial. You need to enter a payment card to start it. One free trial per person.
When you pay. Unless you cancel before the trial ends, your subscription continues automatically and we charge €29 including VAT on day 31, and then every month on the same day until you cancel. The exact date of your first charge is shown at checkout and in your confirmation email. We will also email you a reminder before your first payment.
How to cancel. You can cancel at any time, without giving a reason:
- via the "Cancel subscription" link at the bottom of every page of our website (no login needed),
- in your account dashboard, or
- by emailing hello at acacia-languages.com.
We confirm every cancellation by email straight away. If you cancel during the free trial, you pay nothing. If you cancel later, your cancellation takes effect at the end of the billing period you have already paid for, you keep full access until then, and you will not be charged again. Your statutory right to end the contract immediately for good cause is not affected.
Price changes. If we change the price of your subscription, we will tell you by email at least 30 days before the new price applies. You can cancel before then if you don't agree.
If you are charged for your first month after your free trial and no longer want the membership, email hello at acacia-languages.com within 14 days of that payment. We will refund it in full and end your membership. This guarantee applies once per customer, to the first payment after a free trial only, and is in addition to your statutory rights.
If you are a consumer, you have the right to withdraw from a contract with us within 14 days without giving any reason. The withdrawal period ends 14 days after the day the contract is formed. This applies to consumers in the UK (Consumer Contracts Regulations 2013) and in the EU.
How the right applies to each product
- Course subscription: the withdrawal period starts when you begin your free trial and ends during the trial, before you pay anything.
- Lifetime access (digital content): if, at checkout, you expressly ask for immediate access and acknowledge that you lose your right of withdrawal once access begins, and we confirm this in your order confirmation email, the right of withdrawal ends when your access begins.
- Fast Track and Tutor Bundle (services): if, at checkout, you ask us to start your lessons within the 14-day period and then withdraw, you pay for the lessons already given and we refund the rest. If all lessons have been given at your request within the 14 days, the right of withdrawal ends.
How to withdraw
To withdraw, tell us clearly that you want to withdraw from the contract before the 14 days are over. You can:
- use the "Withdraw from contract" button in your account dashboard and confirm, or
- email hello at acacia-languages.com or write to Acacia Languages Ltd, 17 William Evans House, London, SE8 5AU, United Kingdom.
You can use the model form below, but you don't have to. We will confirm receipt of your withdrawal by email without delay.
Effects of withdrawal
If you withdraw, we will refund all payments received from you without undue delay and no later than 14 days after the day we receive your withdrawal, using the same payment method you used, unless we expressly agree otherwise. You will not be charged any fees for the refund. Your access to the product ends on withdrawal.

After you buy a Fast Track or Tutor Bundle, we email you within 1 working day to schedule your lessons. Lessons take place online. You can reschedule a lesson free of charge if you tell us at least 48 hours before it starts. A lesson cancelled with less than 48 hours' notice, or missed, counts as given, unless you couldn't attend for reasons beyond your control. Fast Track lessons are spread over 4 weeks. Tutor Bundle lessons must be used within 6 months of purchase. If we have to cancel a lesson, we will offer you a new time or refund that lesson.
We supply our courses as described and with reasonable care and skill. If digital content or a service we provide is faulty or not as described, you have legal remedies, such as a repair, a replacement or a full or partial refund, under the Consumer Rights Act 2015 (UK) or the consumer law of the EU country you live in. Nothing in these Terms limits those rights.
All course materials, videos, text, the Role-Play framework, the four-role system (Builder, Detective, Sailor, Athlete), our brand assets, and the book Role-Play: 16 Principles to Be Fluent in Any Language are the intellectual property of Acacia Languages Ltd and/or its authors, and are protected by copyright and other intellectual property laws.
When you buy a course or subscription, we grant you a personal, non-transferable, non-exclusive licence to access and use the materials for your own learning. You may not copy, resell, redistribute, publicly share, or create derivative works from our materials without our prior written consent.
You agree not to: share your account or course access with others; download, scrape, or redistribute course content beyond personal use; use our website or community spaces to harass other learners or post unlawful, abusive, or infringing content; or interfere with the security or operation of our platforms.
If you breach these rules, we will normally warn you first and give you a chance to stop. For serious or repeated breaches, we may suspend or end your access. If we end a paid subscription for this reason, we will refund any amount paid for a period you can no longer use, unless the law allows us to keep it.
Our courses and the Role-Play framework are designed to help you learn a language more effectively, but language acquisition depends on individual effort, consistency, and circumstances. We do not guarantee any specific level of fluency, exam result, or timeframe for progress.
Our Services rely on third-party platforms including Stripe (payments), Discord (community access) and YouTube (video playback). Course content itself is delivered on our own website. Your use of Stripe, Discord or YouTube may also be subject to their own terms. We are not responsible for outages caused by third-party providers, though we will do our best to minimise disruption.
We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these Terms or failing to use reasonable care and skill. We are not responsible for loss that is not foreseeable, or for business losses. Nothing in these Terms limits our liability for death or personal injury caused by our negligence, for fraud, or for any liability that cannot be limited by law, including your rights as a consumer.
We may update these Terms to reflect changes in our Services or in the law. The Terms that applied when you placed an order continue to apply to that order. For ongoing subscriptions, we will email you at least 30 days before a change that affects you takes effect, and you can cancel before then if you don't agree.
These Terms are governed by the laws of England and Wales. If you are a consumer living in another country, you also keep the protection of the mandatory consumer laws of the country you live in, and you may bring a claim in the courts of that country or of England and Wales.
If you have a complaint, please contact us first at hello at acacia-languages.com and we will do our best to resolve it. We are neither willing nor obliged to take part in dispute resolution proceedings before a consumer arbitration board.

Our representative in the EU (Article 27 EU GDPR): Olga Martyna Szymkowiak, Travessera de les Corts 41, 8-2, 08028 Barcelona, Spain — [email protected] (English, Spanish, German, Polish). You can contact our representative instead of us about any data protection matter.
2.1 Data you provide directly
- Your name and email address when you complete the learner role quiz or sign up to our mailing list
- Your quiz responses (used to determine your learner archetype: Builder, Detective, Sailor, or Athlete)
- Your account details when you start a trial or buy something: name, email address, username and password (stored encrypted)
- Your billing address, including your country, which we need to charge the correct VAT
- Payment information — this goes directly to our payment processor, Stripe (PCI-DSS Level 1 certified); we never receive or store your full card details, only a reference to your Stripe customer and subscription record
- Your order history, and the date and time of any consent you give at checkout (for example, asking for immediate access to a course or for lessons to start within the 14-day withdrawal period)
- The details you enter in our cancellation or withdrawal forms
- Your Discord user ID, if you choose to connect your Discord account to access our community — this is shared with Discord to assign you the correct community role
- Any information you voluntarily share when contacting us
2.2 Data collected automatically
- Basic technical data such as pages visited and browser type
- IP address and approximate location (country/city level)
- The campaign tags (UTM tags) in the link you used to reach our quiz or checkout — for example, which YouTube video or email you came from. We read these from the link itself; we do not use cookies or store anything on your device to collect them
- When you pay, the country of your card, which Stripe provides to us and which we keep together with your billing country as evidence of where you live for VAT purposes
We currently do not use tracking analytics. We may introduce Google Analytics and/or Meta Pixel in the future, at which point this policy will be updated and appropriate consent mechanisms will be put in place.
We use your personal data to:
- Deliver your learner role result and send you your personalised profile and action plan by email
- Send you marketing emails about our courses, resources, and language learning content (only with your consent)
- Set up and manage your account, free trial, subscription and course access
- Send you service emails about your purchase, such as order confirmations, a reminder before your first payment, receipts, and confirmations of cancellation or withdrawal
- Process cancellations, withdrawals and refunds
- Schedule and deliver private lessons
- Apply and report the correct VAT
- Improve our website, quiz, and course content
- Comply with our legal obligations
- Consent — when you tick the optional consent box on our quiz form (or another sign-up form) to receive our email series and marketing communications. You can withdraw consent at any time
- Contract — to provide your free trial, subscription, course or lessons, to take payment, and to send you the service emails linked to your purchase
- Legal obligation — to keep VAT and accounting records, to keep records of consents given at checkout, and to handle cancellations and withdrawals as consumer law requires
- Legitimate interests — to deliver the quiz result you asked for and keep a record of your quiz answers so we can generate it; to see which of our videos and emails bring people to our quiz and courses (from the UTM tags in the link you used); to improve our services; and to keep our website secure
If you complete our quiz, we will email you your personalised learner profile. If you also tick the consent box on the form, we will add you to our mailing list and send you a 2-week email series about learning languages, followed by occasional emails about our courses and resources. Ticking the box is optional, and you can withdraw your consent at any time.
We use FluentCRM (hosted on our WordPress site) to manage our mailing list, and send our emails through FluentSMTP, which delivers them via Brevo using our OX Mail email account as the sender address. Your email address is stored securely on our server.
You can unsubscribe at any time by clicking the unsubscribe link in any email we send, or by contacting us directly at hello at acacia-languages.com. Cancelling or withdrawing from a purchase does not unsubscribe you from emails you separately agreed to receive; unsubscribing does not cancel a purchase.
We do not sell your personal data. Course and membership management is handled by Paid Memberships Pro, and our forms by Fluent Forms, both running on our own WordPress website, so this data is stored on our own server. We share data with the following service providers, who help us operate specific parts of our business:
- FluentCRM (hosted on our own WordPress site) — email and CRM management
- Brevo — email delivery service that sends the emails you receive from us. Emails are handed to it by FluentSMTP, a plugin running on our own WordPress site
- OX Mail (Open-Xchange) — provides the email account we send from and receive your replies in
- xCloud — hosts our website and the data stored on it, including quiz entries, accounts, orders and form submissions
- Cloudflare — provides DNS, security and content-delivery services for our website, so your IP address and requests to our site pass through its network
- Stripe — secure payment processing; Stripe is PCI-DSS Level 1 certified and we never receive your full card details
- Discord — if you choose to connect your account for community access, your Discord user ID is shared with Discord to manage your membership role there
- Google (YouTube) — plays our video lessons, only once you press play (see Section 8)
- Our accountants and tax advisers, and tax authorities (see Section 11), where needed for our accounting and tax obligations
- For private lessons, the tutor who teaches you receives your name and email address to schedule and deliver your lessons
All service providers are required to handle your data securely and in accordance with applicable data protection laws.
We keep your personal data only for as long as we need it for the purposes in this policy, or as the law requires. In practice:
- Quiz answers and mailing list contacts: kept while you remain subscribed. If you have not opened or clicked any of our emails for 24 months, we will delete your data.
- Unsubscribed contacts: we remove you from all marketing communications and keep only your email address on a suppression list, so that we honour your opt-out.
- Order, payment and VAT records (including your billing country, card country and checkout consents): kept for 10 years from the end of the year of the sale, as EU VAT rules for the One Stop Shop require.
- Cancellation and withdrawal records: kept with the order they relate to.
- Your account: kept while you have an active membership or purchase. If you ask us to delete it, we delete it but keep the records above for as long as the law requires.
You may request deletion of your data at any time (see Section 9).
Our website uses essential cookies required for basic functionality, such as keeping you logged in to your account. On our checkout page, Stripe sets essential cookies to process your payment securely and to prevent fraud. We do not currently use analytics or advertising cookies. If this changes, we will update this policy and request your consent where required.
Our video lessons are hosted on YouTube. The YouTube player is only loaded when you press play on a video, and we load it in YouTube's privacy-enhanced mode (youtube-nocookie.com). Video preview images are hosted on our own website, so YouTube (Google) receives no data from you until you press play. Once you play a video, YouTube may set cookies and collect data, including your IP address, under its own privacy policy.
Under UK GDPR (and the EU GDPR, where it applies to you), you have the following rights:
- The right to access the personal data we hold about you
- The right to correct inaccurate or incomplete data
- The right to request deletion of your data ("right to be forgotten")
- The right to object to or restrict certain types of processing
- The right to data portability
- The right to withdraw consent at any time
To exercise any of these rights, please contact us at hello at acacia-languages.com. We will respond within one month.
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our website uses SSL encryption, and access to personal data is restricted to authorised personnel only.
Some of our service providers — including Stripe, Discord, Cloudflare and Google (YouTube) — are based outside the UK/EEA, primarily in the United States. Where your data is transferred outside the UK/EEA, we rely on appropriate safeguards, such as the UK–US data bridge (the UK Extension to the EU–US Data Privacy Framework) or standard contractual clauses, as applicable to each provider. Additionally, as part of our EU VAT One Stop Shop registration, limited transaction data (such as the EU country associated with a purchase, used to determine the correct VAT rate) is reported to the Irish Revenue Commissioners as our Member State of Identification, who may share relevant portions with tax authorities in other EU member states as required under EU VAT rules.
Our services are intended for adults aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with their data, please contact us and we will delete it promptly.
We may update this Privacy Policy from time to time. When we do, we will update the "last updated" date at the top of this page and, for significant changes, tell customers by email.
If you have any questions about this Privacy Policy or how we handle your data, please contact us:
